OHRM

RIF
-
CS export functionality

Product description

The OHRM
1

(Online Heritage Resource Manager)
is a software tool for describing
and managing research data collections, particularly at the University of Melbourne.

The functionality described in this
documentation enables existing OHRM users to
export information about their research data collections in a format compliant with the
RIF
-
CS metadata standard
2
.

This functionality is of particular relevance for OHRM
users wanting to publish information to t
he University of Melbourne Research Data
Registry
3
, or directly to Research Data Australia
4
.

Acknowledgement

This
functionality was developed with support from

the Australian National Data
Service (ANDS). ANDS is supported by the Australian Government th
rough the
National Collaborative Research Infrastructure Strategy Program and the Education
Investment Fund (EIF) Super Science Initiative.

User guide

This guide is for OHRM users and administrators who would like to export OHRM
data conformant to the RIF
-
CS metadata standard. This functionality is of particular
relevance
for

publish
ing

information to the University of Melbourne’s Research Data
Registry, and/or to Research Data Australia. These instructions assume the RIF
-
CS
export functionality has been i
nstalled
in the target

OHRM.

For instructions on
installing the functionality to an OHRM, please refer to the System Administrator’s
Manual section of this document.

1)

From the “main menu” form, click “HTML Console” button

2)

In “HTML console” form, click “E

-
PostgreSQL and/or XML”
button

3)

From the pop

CS Export” or “RIF
-
CS Upload”.

RIF
-
CS Export option

The RIF
-
CS export option generates and saves a RIF
-
CS XML file to a
location you specify.

RIF
-
CS Upload

The RIF
-
CS Uplo
ad option generates a RIF
-
CS XML file and copies it via
Secure Copy Protocol (SCP) to a central location for upload into the
University Research Data Registry. This requires an additional set up
process to be completed before
this functionality is operatio
nal. Please
refer to the System Administrator Manual (below) or speak to your OHRM
administrator for more information.

Export Setting

The export settings option can be used to change the style sheets used to
process the exported XML. Please refer to the
System Administrator
Manual (below) for more information.

System administrator manual: Adding RIF
-
CS export
functionality to an existing OHRM

To add the RIF
-
CS export functionality to an existing OHRM you will need to add new
tables, forms and a new mod
ule to the OHRM, and reference two provided XSLT
files. These are available
to download
from
:
http://code.google.com/p/ohrm
-
additional
-
functionality/

Please ensure the OHRM is clos
ed before you start. These instructions assume MS
Access 2003, and may require some variation if you are using a different version of
MS Access.

1)

Adding the additional MS Access files and enable XML module

Download and unzip the “
OHRM
-
RIFCS
-
export
-
function
ality.zip
” file
under the
target OHRM
’s data directory

Open
the “
Export
-
formtablemodule.mdb
” which contains the export
functionality

Open the

target

OHRM you are adding the RIF
-
CS export
functionality to

Add
the

additional T
ables

(
“rifcs” and “rifcPropert
ies”
), F
orms
(
“frmExportDb” (replace existing form)

and “frmExportrifcsSettings”
)
and Module (
“mdlRIFCSExport”
)

from the

Export
-
formtablemodule.mdb
” to the target OHRM

Close the “
Export
-
formtablemodule.mdb
”. This file can now be deleted.

The “
rifcsExport

directory should now also be in the root directory
of the target OHRM and should contain the XSLT files required for
the transformation.

The Microsoft XML engine must be enabled for t
he export functionality to
work.
Go to Modules (View, Database Objects,

Modules)

and o
pen any
module
. Open the Tools menu and

select References
. Ensure the following
options are selected:

Visual Basic For Applications

Microsoft Access 12.0 Object Library

OLE Automation

Microsoft DAO 3.6 Object Library

Microsoft XML, v6.0

Wind
ows Script Host Object Model

2)

Map OHRM entities to RIF
-
CS elements

Open the mapping table

by opening the View menu, and selecting
“Database Objects” and “Tables”. Open the “rifcs” table

Update the values in the OHRM_COLUMN_Value column to match
the corres
ponding RIF
-
CS entity and relationship types in the
corresponding RIFCS_Entity and RIFCS_Relationship columns

The mapping table elements are case sensitive

If you require assistance with this mapping process, please contact
the ESRC, or refer to the RIF
-
C
S documentation:
http://ands.org.au/resource/rif
-
cs.html

3)

Reference mapping files

F
rom the
OHRM
HTML Console click the “Export
-
PostgreSQL and/or
XML” button.

Click the “Export Setting” button.

Add
the file names
for

the XSLT files

contained in the “
rifcsExport

directory that will be used for the RIF
-
CS export functionality
.

Default files are provided.

Additional (custom) XSLT files can be added if required. Each
specified XSLT file will be proces
sed in descending order.

4)

Set up Secure Copy Transfer to the University Research Data
Registry (optional)

To enable Secure Copy Transfer for metadata to be copied for upload to the
University Research Data Registry, you must first contact the Registry
admi
nistrator to request permission. Once permission has been granted, the
OHRM needs to be configured as follows:

Create an RSA key pair by opening the puttyg
en.exe application in the
data directory (Open the application, press the generate button, and
move y
our mouse around while the key is being generated as
instructed). Save the generated key
-
pair as rsa
-
key
-
ohrm.ppk under
the auth directory. Copy the text in the public key window, save this text
in a text file and send it to the Data Capture infrastructure

system
administrator.

The batch file transfer_rifcs.bat will need to be updated

as per the
instructions in the batch file itself

refer to the “Per
-
deployment
configurations” section for details.

The batch file should now be run to set up the transfer o
f the metadata
to the central location.

The OHRM RIF
-
CS export functio
nality should now be installed, and the end
-
user should be able to trigger export of metadata to the central directory
location allocated to the research centre by using the OHRM user
interface
(see the User Guide section of this document for more information).
