Problem Statement

An organization/Government Agency receives and sends confidential documents from/to
external parities and needs to keep track of such documents. The problem also involves
preventing the documents from entering certain

areas or leaving certain locations and viewing
the location of the document on
the

premises map.

Proposed Solution

2.1

Solution Overview

The proposed solution will utilize the RFID technology that will help solving the problem
described

above
. RFID technolog
y is an old technology that was not widely used and became a
very interesting and useful technology for different types of businesses. Any RFID solution will
consist of the following components:



RFID Tags: These are the component that will hold the Item in
formation; it has different
types and operates on multiple frequencies.



RFID Readers/Writers: These devices will communicate (Read or Write info) with the
Tags

and

will act as a translator between the radio waves and the information systems.
RFID Readers/W
riters will be referenced as “Reader”



RFID Antennas: This component

will be attached to the RFID readers, and will send
Radio waves to the RFID tags. The Antennas will also receive the radio waves sent from
the tags and send it back to the RFID reader.



Sof
tware that communicates with the RFID

readers (Send and receive the data to and
from the reader). Called “Middleware”
.



Software that analyze the Data from the Middleware.

Solution Details

2.2.1

RFID Hardware

As mentioned above in the overview section, RFID hardware is needed. The HF Frequency
(13.56MHz) is going to be used to implement such a solution. Paper RFID tags are going to be
mounted on documents. For the current p
hase, we will need the following RFID hardware:

Two HF Readers: These readers will be mounted either on some lockers
-

In this case,
the system should be configured to prevent the documents monitored by these readers to
leave the area
-

or they can mounted
on some entrance points (Doorways, gates ..etc)


in this case the system should be configured to provide tracking information for the tags
that pass by

. For such a solution, RFID readers should be “Network” enabled, i.e.: The
readers should be able to co
mmunicate via a TCP/IP channel.

100 HF RFID tags: These are the tags that are going to be mounted on the documents.

HF Antennas: These antennas

will be directed to the locker or the gateway to provide the
proper “Scanning and sensing” functionality needed
to implement the business features.

For the current phase, we will need 4 HF antennas.

2.2.2

Tracking Software

The software part of the proposed solution will consist of the following main modules:

RFID hardware interface: This layer/m
odule will act as a middleware between the RFID
hardware and the software application that will track and monitor.

Tracking Module: This module will provide functionalities such as: Map Management,
Item location.

Monitoring Engine: This module will be resp
onsible
for

monitoring the items that are not
allowed to leave a certain area/locker

Notification and Alert Module: This module will be used by the Monitoring engine to send
notifications and alerts to system administrators and managers.

User Interface: Th
is is where the Admin will define the readers, maps, items and will
perform his tasks such as monitoring the items.

Optional Features

The following are features that are optional for the solution and can be implemented in later
phases:

Reporting: To have different reports on documents and their location

Employees Identification via RFID tags: To know the person who owns the document at
any moment.
