INTRODUCTION

Overview

Introduction

The Student and Exchange Visitor Information System (SEVIS) is an Internet
-
based software
application developed by the Immigration and Naturalization Service (INS); its purpose is to
fa
cilitate timely reporting and monitoring of foreign students (F and M visas) and exchange visitors
(J visa) and their dependents in the U.S. SEVIS enables schools and program sponsors to
transmit electronic information and event notifications via the Inte
rnet to the INS and the
Department of State throughout a student's or exchange visitor's stay in the United States. SEVIS
also allows printing of the appropriate forms and provides reminders, alerts, and basic reporting
capabilities. SEVIS's scope includ
es the range of activities associated with the capture of data
surrounding the student/exchange visitor pre
-
arrival activities, arrival, status while in the U.S., and
program completion. While the SEVIS Real
-
Time Interactive portion of SEVIS was available

July
1, 2002, the Patriot Act of October 2001 requires that ALL institutions fully implement SEVIS by
early 2003. The Jenzabar CX SEVIS application
is designed to track and report the activities of
visa holding stude
nts to facilitate their maintenance within the INS’s SEVIS database . Developed
by Jenzabar, Inc., the real
-
time interface application relies on client/server architecture, while the
batch component relies on interaction with the Jenzabar Internet Campus
Solution (JICS).

Purpose of This Guide

This guide serves as installation guide for installing the Jenzabar CX SEVIS product so you can
install it on a PC.

Intended Audience

This guide is for use by the system users in your institution’s computer center. Sy
stem users
include the Jenzabar coordinator, Jenzabar system administrator, and programmer/analysts.

Overview

Introduction

This section outlines the information you need to know before you begin to install SEVIS, and
what you must do to install t
he application on a PC.

Tasks Prior to Installation

You need to accomplish the following general tasks

at your institution before you install SEVIS:



Install the Informix Client SDK (Version

2.7) Informix OLEDB Provider.



Install the Jenzabar ODBC driver (Version 1.55)

as instructed in
CX ODBC Driver
Installation Guide.



If this is not your first installation of SEVIS, remove any existing SEVIS application you
may
have already installed on your PC.



Without exiting Windows, close any applications you may have open. The SEVIS setup
program cannot install system files or modify shared files if they are already in use. This
includes any toolbars, such as the Microso
ft Office


Toolbar or the volume control icon in
the bottom right corner of your screen.

Exiting the Setup Program Before Completion

At almost any point throughout the installation, you have the option of continuing or canceling. If
you select
Cancel
, the
following window appears:


Click
Yes

to stop the SEVIS installation.

Uninstalling SEVIS

If you cancel or exit the setup program after the initialization files

are copied, the SEVIS
application removal utility

will begin automatically.

If you complete the installation
, but later decide to remove the application, use the Add/Remove
Programs applet

fro
m the Windows Control Panel.

CAUTION:

During the removal of the application
, you will be prompted before a shared
resource or file is removed
. Removing a shared file may have unpredictable
results in other

applications that may use these files. If you are unsure whether a
file is essential, it is recommended that you select
No

or
Keep

at such prompts to
allow the shared resource to be retained.

Uninstalling SEVIS Before Reinstalling

Typica
lly, you should remove previous versions of CX’s SEVIS application before you install a
later version. To uninstall a previous version, use the Add/Remove Programs applet

from the
Windo
ws Control Panel.

When you launch the applet, the following window appears:


As soon as the InstallShield Wizard prepares for the removal of the program, the following window
appears:


Make sure you select the Remove option, and then click
Next
. The uni
nstall process prompts you
to confirm that you want to remove the program completely. Click
OK

to continue.


When you click
OK

the remove process launches, and the following window appears to show the
progress of the program removal process.

Installing SEVIS on a PC

Downloading the Files through FTP

The following procedures explain how to download files from the Unix server through FTP. Since
each client
site may have its own method for transferring files through FTP, the following
information is provided as a general guide.

How to Use FTP for Setup File Installation

The following FTP process transfers a se
lf
-
extracting archive from the Unix system to an
individual PC. For illustrative purposes, the archive name is Smo12705.exe, and it is transferred
to the individual user's c: drive.

Follow these steps to download the file:

1.

At an MS
-
DOS prompt, create a
new directory for the setup files (e.g., c:
\
smo12705).

2.

Change directories to the new directory you just created.

3.

At the prompt, enter
ftp <hostname>
.

4.

Enter your username and password as prompted.

5.

Enter
binary

at the prompt t
o change to binary mode.

6.

Enter
cd <absolute path to the SEVIS directory>

at the prompt. If you have followed all the
instructions in the README for SMO 12705, this path is
$CARSPATH/software/JENZABAR/SEVIS.

7.

Enter
ls

to see the list of files you are g
oing to transfer.

8.

Enter
get setupsvs.exe

to transfer the archive.

9.

When the system finishes transferring the archive, enter
bye

to exit FTP.

How to Install on a PC

Follow these steps to install SEVIS on an end user’s PC us
ing the Windows Run feature. This
installation occurs in two or three steps (two steps for Windows 98/NT machines); the final step is
the actual installation of Jenzabar’s SEVIS application, while the preliminary step(s) ensure the
necessary Microsoft file
s are in place.

Notes:



If you are reinstalling SEVIS, use the Add/Remove Programs applet from the Windows
Control Panel to remove the existing version of the application first.



This installation process causes your system to reboot one or two times (depend
ing on
whether you are installing on a Windows 98/NT machine. You must close all applications
before you begin the installation, or you will lose any unsaved work in the unclosed
applications.

Start Windows.

Close any applications that are open (such as t
hose that are opened by your Start Menu).
This includes any toolbars that may be on your desktop, such as the Microsoft Office


Toolbar.

3.

Click
Start

from the Taskbar.

Click
Run
. The Run box appears.

Enter the path for the SEVIS Setup program in the Op
en field in the Run box, as shown for
SMO 12705 in the above example.

Note
: If using the network installation, run
setupsvs.exe

in the directory containing the
installation files.

6.

Click
OK

to continue. The setup program begins w
ith a progress screen, as in the following
example. A click on
Cancel

abandons the setup process.


7.

Immediately after
setupsvs.exe

reads the necessary files, it displays the following progress

If not canceled, the following window appears automat

Click
Next
. A screen prompting you to select a file location for the SEVIS software appears,
as in the following example.

Use the Browse command button to select a different destination folder for the SEVIS
software, or accept the default by
clicking
Next
. Note that all the components you are
copying to the PC will reside in this destination.

When you click
Next
, the following dialog box appears.

Note:

This dialog box enables you to choose among different installation and file copying
options.
Note the following as you decide how to respond to the prompts on this dialog
box:



As you highlight different items in the list of components, the Description box to the
right of the list changes to provide you with an explanation of each component.



When y
ou place a checkmark in the box for SEVIS Program Files (the default), the
remaining InstallShield processes will actually install these components on the PC.



When you place a checkmark in the box for Informix SDK, the installation process
copies the insta
ll program ONLY for version 2.7 of the SDK (i.e., it does not install
the SDK, but copies the necessary files to the SEVIS installation directory so you can
run the SDK installation program yourself later). You must have the provider for
version 2.7 of th
e SDK installed on any PC that is running SEVIS.



The Change button, used for software applications that contain subcomponents, is
not active for the SEVIS installation.

Complete the dialog box as desired, and then click
Next
. The InstallShield program disp
lays
a dialog box that resembles the following:

As instructed by the prompt above the Program Folders field, accept the default name for the
folder in which SEVIS software icons will be stored, enter a new unique name, or select an
existing program folde
r. When the desired folder name appears in the Program Folders field,
click
Next
. The InstallShield program displays the following dialog box, which shows the
program's progress in completing the installation process.

Allow the progress bar to complete.

When the installation is finished, the following prompt
appears:

Click
Yes

to place the icons on your monitor screen, or
No

if you would prefer to launch
SEVIS from the Start/Programs menu. The following screen appears, indicating the
installation is c
omplete.

Click
Finish

to remove the InstallShield wizard dialog box from your screen and to conclude
the SEVIS installation process.

Note:

Depending on the version of Windows you are running on the PC, the following dialog box
may appear instead of the
one above. If you see the following box, make the selection to have the
InstallShield cause a reboot immediately, or plan to restart the computer yourself later.
Regardless of which choice you make, click
Finish

to conclude the process. If you decided to
h
ave the system reboot immediately, your PC will shut down and come back up right away.

PC Installation



Connecting for the First Time

When you run SEVIS, the application will load and display the SEVIS Login dialog box.


If you have
installed the Informix ODBC driver (CLI), the Service Name field will have a dropdown
list of all the databases you can access. Select the database, then enter your login name and the
password you use to access the selected database, then click on
OK
. On s
ubsequent startups,
SEVIS will automatically default to the database to which you were connected during the previous
session.

Note:

To use the SEVIS application, you must also install the Jenzabar CX ODBC
driver to run the application servers. This ODBC driver
is not visible or
accessible to the end user. The name for this version of the Jenzabar CX
ODBC driver must be the same as the database name selected in the Service
Name field, with the letters APS appended to the end (e.g., Devi7CLIAPS). For
