KY Cloud Administration

Overview

This document describes
the setup and use of
the

KY Cloud Administration utility. The new
Cloud Admin utility provides
Munis

administrators

and users
with the ability to
perform
Kytransfer, mucopy,
lockmunis as well as
v
iew users in the database
, reset users passwords
and
other administration.

Setup

The following instructions
must be performed by all
use
rs

that require access to functions
within the Cloud
Admin
utility.

1.

Login to the Munis

Dashboard

2.

On the left

side of th
e dashboard, under My Programs, click the
Add a Favorite

button.







3.

A pane appears allowing manual entry of a favorite.


Enter or paste the following:

Name:

Cloud Admin

Tyler URL:

Note: The “Open in a new window” box should be
checked.


4.

Click the
OK

button

to add the favorite. The Cloud
Admin option should always appear at the bottom of
your My Programs list.





Note:


Each user must go throu
gh the setup process described above to add the Cloud Admin
to their My
Programs
before they are able to use the functions.

Using the Cloud Admin Utility

The Cloud Admin utility provides several administrative functions.
To use the Cloud Admin
:

Run Kytransfer

This option provides kytransfer capabilities
similar to the utility available on the Unix
server. Cl
icking this option presents the pane

as seen on the right

The PSB (Project Budget)

or CDIP

files show
the 10 most recent f
iles from the S

Reports
folder with the most recent at the
bottom.

To transfer a file click the bo
x to the left of
the filename a
nd click the Transfer
PSB File
button
.

Users are prompted to receive email
verification.



Run mucopy

This function copies the Live database to the Training database

and can be performed while
users are in Live
.
For most districts t
his function runs very

quickly (a
couple
minutes or less)
and requires users are out of the
Training

database. If
users are in the Training database they will be logged out
and will need to login upon completion of the process.

Clicking the Run mucopy button presents the pane
:



The pane shows the Last mucopy as well as status
(running etc.)



Click the Run mucopy button to initiate the copy
. A
pane momentarily ap
pears indicating your selection.



Click the refresh page to refresh the Last mucopy and
status options.

You may continu
e working while the copy is performed.
Users of Live may notice a slight degradation while the copy is performed.

Run lockmunis

The lockmunis function allows an administrator to limit access to MUNIS
so as
to perform
functions that may require exclusiv
e access by a single

user

or group of users (e.g. ye
ar end
close etc.). The
Run l
ockmunis
utility
disables all
except select user accounts.



Prerequisite:

Users requiring access during
lockmunis

must first
have the box “This is
an administrator” checked i
n Manage
User Access!!!

The “This user is an
administrator”
allows users access to
Munis while lockmunis is active.


U
sers currently in a MUNIS program appear

at
the bottom
.

You may choose to lockmunis then

ask

users to exit.

Click the View Current User
List
utility to determine if all users have exited.

A help button is also available to further explain
the function.

Clicking the Run lockmunis button provides confirmation that it was run successfully.


Note:
When MUNIS is locked,
any user
attempting to
login or access a program

will receive the message:




Unlocking MUNIS

To
allow
access

to Munis
, simply return to the Run
lockmunis function and click the Run unlockmunis
button.

View Current User Activity

This options displays your users currently runni
ng MUNIS and the processes they are
performing.


This function will list only users in
a MUNIS program (not at a menu).






















Manage User Access

This option allows the Cloud Admin administrator to allow users access to select or all functi
ons
in the Cloud Admin menu.
The first
panel displays all users with an Enabled status in the Munis
User Attributes program.

Click the “Edit this user” button to maintain
an
individual
user’s
permissions
.




Check the appropriate boxes to provide us
ers
with select Cloud Admin functions.



The option “This user is an administrator”
provides full administrative capabil
ities to the
Cloud Admin.



The “This user is an administrator” also
allows
users access to Munis while lockmunis is
active.








Reset Us
er Passwords

This function allows authorized users to reset
a user password. If your district also uses
Crystal Reports, you are able to reset Crystal
Report passwords as well.








A confirmation is displa
yed along with the
temporary

password. The us
er receives an
email with the temporary password and
requirements for establishing a new password.

Request New User

This function allows you to request a new user

to the Cloud. After the user is added, the MUNIS
administrator must add the user in the

User Attributes program and grant them access via a
role.


The user name must contain your 4 digit customer number
and is typically
followed by first
letter of first name and first three letters of last name.


Example: If your district customer number is
9123 and you wish to add Joe Smith, the username
would be “9123jsmi”.


Note:


Be sure to check the User Attributes program to ensure the new username does not
match an existing name.

Year End Backup

The Munis Cloud service performs a backup ever
y evening
with
the backups kept for a number
of years.
Th
e
Y
ear End Backup utility
allows you to perform a snapshot backup during the day

before performing a large task/process in Munis
.

This provides a
restore point should
any
problems occur during or
a
re discovered
shortly after performing the process.


Note:


This provides a single snapshot and can be run multiple times however running it a
second or subsequent time overwrites the previous snapshot backup.



To run the backup, enter an email
address t
o send confirmation once
the backup is complete then click
Submit backup.















Note:


The backup job is submitted and run on
a
schedule that allows only one backup to run at
a time. This prevents the backup jobs from consuming the system resources

and slowing
your access to Munis. When the job is complete you will receive an email with the status
of the backup. It may take several minutes or longer to complete before you receive the
email indicating the task is complete.


Do not proceed with Munis

processing until receipt of the email confirmation!
