Check Imaging

Frequently Asked Questions

What is Image Processing?

Image processing is digital technology that captures a picture of a document, front and back, and then stores
it on a computer.

The image
becomes a permanent record that can then be retr
ieved quickly and reproduced
as many times as needed.

When it is time to prepare your statement, the computer retrieves your check
images and laser prints them on regular paper.

You’ll get a reduced version of the front of the actual check.

It’s as simp
le as that.

Why
is Citizens bank switching to
Image Processing
?

Citizens Bank

strives to utilize new technology to provide

you with
the best quality service.

We believe that
Image Processing will help us continue to meet that objective.

In addition, ima
ge
-
based processing is more
secure. In the past, checks traveled on airplanes, trains, and in courier service vehicles during the clearing
process. With this new technology, banks send digital images electronically, eliminating the need to
physically tra
nsport paper checks, which prevents uncontrollable delays due to weather or natural disasters.

What are the benefits?

Storage is simple
-
i
n most cases a full year’s statements and checks can be filed in a three ring

If you

Is an image an acceptable proof of payment?

Yes.

Courts have for many years accepted facsimiles in the form of photocopies or copies prod
uced from film
as proof of payment.

Images are far superior in quality to photocopies or copies produced from film.

In fact,
there was an article published in the November, 1992, issue of “Nation’s Business” relative to rules issued by
the IRS under whic
h financial account statements are acceptable as proof of payment as long as the
statement show
s

the check number, amount of the check, and the name of the payee:

Image Processing
p
rovides all of this information.

Why does it only show the front of the c
hecks?

Images of the backs of the checks have not been included in order to streamline the statement since most
customers
d
o not inspect the backs of their checks.

Anytime you need the back of a check, we can print it for
you quickly and deliver it to you

by fax,
mail,
or in person at the bank.

How does this technology work?

We have installed equipment that actually photographs your checks, converts paper debits and credits
(checks and deposit slips) to a digital format which is stored to an optical disk.

When it is time to prepare your
statement, the system retrieves your check images and laser prints them on paper.

You see a reduced
version of the actual check.

What will my imaged checks look like?

Eight

checks will be laser printed on one regular siz
e 8.5 x 11 sheet of paper
.

We have enclosed an example
of a page of

imaged checks.

The check number, date the check posted to your account, and the amount will
be conveniently printed along the bottom of each check.

What
if the images are too small for
me to read?

While the default setting is
eight

check

images per page, we can customize this setting based on your
personal preference.

What happens if I find an error?

The automated processes that accompany electronic check processing should result in fe
wer clerical errors.

However, in those situations when an error is suspected, expedited clearing and posting, as well as instant
access to paid check images
by bank employees,

means the problem is identified and resolved quickly.

Will my money be availab
le when I need it?

Check deposits will actually post faster.
With imaging and electronic check presentment payments enter the
collection stream more quickly, clearing is expedited and funds are posted more quickly to depositors’
accounts.

What happens to

my original check?

Typically, original checks are destroyed once the check is digitized.

There are no requirements governing the
retention of original checks.

Check images and s
ubstitute checks are legal substitutes for proof of payment.

What if there
’s an error involving a substitute check?

Regulations

require that we provisionally recredit your account, usually within ten business days, for any
substitute check you receive and dispute.

Please review your monthly checking account statements and
conta
ct us immediately if you suspect an error.

We will be sending you a disclosure statement soon with
more precise details on provisional recrediting in case of errors involving substitute checks.

Will this change the way I manage my checking account?

Chec
ks you write should clear sooner,
so

a
s always, y
ou should not write checks for amounts that can’t be
covered by funds already in your checking accounts
.
