Asset Manager Product Structure

Asset Manager is composed of a required foundation layer and optional modules. Please refer to figure
1 for the visual layout of this structure. Each of these modules will be described in detail in the following
sections. The Asset Manager product structure has been dramatically simplified in 5.2X (compared to
5.10), and now accommodates desynchronized licensing. In addition, Asset Manager 9.3X has no
minimum purchase and no quantity restrictions for either initial or expansion purchases. This allows the
customer to buy only the modules they need at the user levels they want for the most optimal price.

Named and Floating licenses

HP Asset Manager utilizes a per user schema for licensing with two different user types allowing
customers to choose how to allocate access and utilize Asset Manager. The two types of user licenses
are: Named and Floating.

Named users are assigned to specific users of Asset Manager and guaranteed access to licensed
applications based on their Administrator defined User Profile. This license type is primarily used for
dedicated users requiring guaranteed and immediate access and a single LTU (License to Use) covers
access for 1 specifically named user. Examples of this type of user would be AM administrators, business
process analysts and process engineers.

Floating user licenses provide a pool of access to a set of users. Floating user LTUs are primarily used for
general users and provide a first come first serve access. Once the number of users accessing the system
reaches the number of floating user LTUs (i.e., concurrent connections) purchased, each additional user
trying to access the application will be notified that the maximum number of users has been reached and
denied access
. These floating user LTUs provide simultaneous access for a pool of users allowing the
purchased quantity access at a single point in time.

Description
The Foundation products provide the basis for the Asset Manager suite of modules; they are required for
each installed instance and are required for every user that accesses the system (except for Guest users).
Foundation contains the following items: base access, client user interface, data and access
administration, integration connectors, Universal CMDB Foundation, pre-defined reports and dashboards

The Server LTU is required for each instance of the product but only if the customer intends to run the
instances as separately managed production databases. For example, if there were two instances of
Asset Manager running within a company, one in Tokyo and one in Brussels, the customer would be
required to purchase two Server LTUs only if they were intended to be separately managed production
databases. High-availability, back-up and test / development licenses are provided for each Server LTU
and do not require additional LTUs (competitive products do not have the same policy).

The HP Universal CMDB (UCMDB) Foundation and HP Connect-It for Base Connectors are both free
entitlement LTUs. The UCDMB Foundation is provided to support federation of asset data with service and

configuration management. All HP Software to HP Software, command line, delimited text and XML file
connectors are provided in the HP Connect-It for Base Connectors LTU and this LTU is required for
customers to file support tickets.

The Asset Portfolio named or floating user LTUs are required for each user that would access the system at
any point in time to manage reference data, the asset portfolio, product catalogs, and internal request
templates (i.e., Standard Requests). For access to the other modules, named or floating licenses must be
purchased for the specific module (Example: Financial Management named and/or floating user LTUs).

A minimum number of Asset Portfolio named and floating users is required to equal the maximum quantity of
named and floating users for the individual modules. For example, if a customer needs 8 Named Financial
Management users and 17 Floating Financial Management users along with 3 Named Contract Management
users and 22 Floating Contract Management users, the customer will need to have a minimum of 8 Named
Asset Portfolio users and 22 Floating Asset Portfolio users.

Guest licenses

Guest User licenses provide a low cost “named” user for restricted access to data and event specific
transactions. Unlike Named and Floating users, Guest users have a pre-defined access profile. Guest
user rights include the ability to view assets and related asset data assigned to the user and the user’s

managed organization hierarchy (e.g., Departments, Projects), to submit requests, view reports and
respond to workflow tasks related to ITAM business processes (e.g., approvals). Guest licenses are sold
in 100 User license packs.

Contract Management Module

contract. AM Contracts Management module contains contract terms and conditions tracking, automatic
notification of important dates such as contract expirations and data to enable vendor management and
vendor performance management.

The named and floating user LTUs are required for each user that would require access to contract
management. The number of named and floating LTUs must equal or be less than the number of Portfolio
named and floating LTUs.
Financial Management Module

Description
The HP Asset Manager Financial Management module captures, monitors, and manages all costs
associated with an asset from acquisition to retirement. Capital expenditures as well as operational costs
are associated with budgets can be defined, tracked and reported on to understand actual expenses
versus planned. In addition, the Financial Management module provides an automated cost allocation
process where specific business units are invoiced and charged back for IT services.

The number of named and floating LTUs must equal or be less than the number of Portfolio named and
floating LTUs.
Procurement Module

Description
HP Asset Manager Procurement module verifies each new purchase request against corporate approval
standards by checking against a catalog of approved products and related services and monitors existing
asset inventory levels (i.e. stocks) and budgets to ensure requests for new products are fulfilled with
existing asset inventory whenever possible. Ship receipts and supplier invoices for received assets can

also be reconciled with submitted purchase orders.

In addition, the HP Asset Manager Procurement module provides Guest users of Asset Manager an easy
and cost-effective way to request and acquire the assets and related services they need to do their work.
This Service Catalog functionality plays a major role in the new Service Request Lifecycle Management
capability introduced by HP Service Manager software. Service Catalog functionality

oes beyond a
simple transactional approach to acquiring goods and services, and permits a Guest user to create a self-
service request along with other ITAM related workflow events.

The Guest user LTU is recommended for every employee that could potentially utilize the Service Catalog
functionality via the Asset Manager Web client. This is usually the size of the organization or number of
self-service customers the IT organization serves.

Deploying the Asset Manager Service Catalog requires implementation of a dedicated Service Manager
instance for hosting the AM Self-Service Catalog. Asset Manager customers are entitled to 5 Service
Manager Foundation Named Users to administer the Service Catalog integration with Asset Manager.
The Service Catalog functionality should not be used by Service Manager customers who have already
purchased the Service Manager Service Catalog

The number of Procurement named and floating LTUs must equal or be less than the Portfolio named and
floating LTUs.

Description

ement (SAM) module enables a standardized and proactive

method of managing software license compliance. Using the information provided by the Contract
Management module, SAM associates software purchase invoices with software license agreements and
can help manage software license compliance.

The SAM module named and floating user LTUs can be purchased in any quantity. However, if more than

$300K list in user licenses are required, the Enterprise license is recommended instead. The Enterprise
license provides the ability to use as many users as necessary for the SAM module in the limits of the
number of users licensed for the Portfolio module. The SAM module depends on the Contract
Management module. Either the Contract Management module must already be licensed in the user’s
environment or it must be added at the same time. The number of named and floating LTUs must equal or
be less than the Portfolio named and floating LTUs.

The SAM module gives customers the right to download for free the SAM Best Practice packages that
deliver out of the box software counters, compliance and maintenance renewal dashboards, Crystal
Reports and Contract templates for selected software titles and publishers. SAM Best Practice packages
are available via HP Live Network (

in the
Asset Manager
community under “Standard Content” or on HP SSO portal

Integration

There are two mechanisms to integrate to Asset Manager: Web Services (included) and Connect-It. Connect-It
integrations have pre-defined integrations or connectors that provide out-of-the-box interfaces to both HP and
non-HP applications. Integration interfaces to HP Software BTO products are provided free of cost.

Connect-It interfaces to non-HP applications are licensed by the sum of Asset Manager Asset Portfolio named
and floating users of the system and any Service Manager Foundation named and floating users. The user LTU
makes sense for customers that will never exceed 224 Asset Manager Asset Portfolio named and floating user
LTUs and Service Manager Foundation named and floating users. For customers that will have larger total user
LTUs than 224, the server based licenses are a better value for the customer. There is an upgrade mechanism
for customers to transition from user based licensing to server based licenses when they grow from less than
224 users to over 225. The server license grants enterprise wide unlimited usage of a specific connector.
Media


The Asset Manager 9.30 media product includes the media for all the essential products to run Asset Manager.
This media product number T9501CA (English Media product number) includes the Asset Manager Media, the
Connect-It Media, the DDMI media (That can be used as a trial version with 5 devices and can be fully
activated with a DDMI license key) and the UCMDB Media eliminating the need to order multiple media
products for Asset Manager. One Media product is required for all new sales. There are separate product
numbers for the media in alternate languages. Please see the pricing guide for additional language Media
product numbers.

Description and Intent
The Asset Tracking Bundle provides customers with a cost effective and simplified package that provides
the functionality required to start asset discovery and management. Do not forget to add the other free
entitlement Foundation products such as Connect-It Base and UCMDB.
6 Steps for Quotation Success


Below are the 6 simple steps to configure an order. It will list the questions you should be able to answer from
or with the customer. The steps are order dependent so work in order and record the results from each step to
create a valid Asset Manager quote.

Step 1: Determine the number of AM instances needed
Determine if the customer requires running the application in more than one location. Typically this will be rare
since Asset Manager scales well to accommodate hundreds of users. What will force customers to run multiple
instances of AM will be poor WAN coverage between geographies. Each instance comes with licenses for
production, fail-over, test and development environments. Each instance will require the foundation LTUs which
will cover multiple physical servers in a clustered or load balanced situation.

Step 2: Determine modules required by the customer
From the following list, the descriptions in previous sections and the customer requirements, determine which
modules are required:
• AM Contract Management
• AM Financial Management
• AM Procurement Management
• AM Software Asset Management

Step 3: Calculate named and floating user LTUs for the required modules and
Asset Portfolio

For each
module that the customer required from Step 2, calculate the following:
a. The number of users that require immediate and/or guaranteed access for each module. This number
will become the quantity of Named LTUs for the module.
b. The number of users that are not named that will concurrently access each module at any one time.
This number will become the quantity of Floating LTUs for each module.
c. The highest number of Named and Floating LTUs from the individual modules then becomes the
minimum number of Asset Portfolio Named and Floating Users required.
For the Software Asset Management (SAM) module only, if more than $300K will be spent on users, use the
server license instead.

Step 4: Add Guest user LTUs if required
If access is required by this class of users, add the appropriate quantity of Guest user LTUs taking note that
Guest users are sold in 100 user packs. Typically, guest user LTUs are required for general employee or self-
service access to asset data ITAM related self-service events. Refer to the description of the Guest license for
more details.

Step 5: Determine required integration connectors and LTUs
For all non-HP integration connector for Connect-It required for the customer’s environment, add AM
Portfolio Named and Floating LTUs to get the total number of users for these integrations along with any
Service Manager instance. If the number is close to or over 224, add the server LTU, otherwise add the
calculated sum for the quantity of user LTUs for each required connector.

Step 6: Configuration validation

A configuration validation is required prior to generating a quote. This applies to quotes for new installations
and for capacity upgrades, as well as to any quote change. Failure to comply may result in License and Order

Quotation Examples


New ITAM Customer (Evolution Maturity: Chaos to Reactive)

A small enterprise in New Zealand wants an IT Asset Tracking solution to eliminate their manual inventory and
audit processes. They are tired of inaccurate reporting; not knowing what IT equipment is in use, by who and
what is available in stock to support the datacenter’s demand for additional server infrastructure. In addition,

the company is just starting to keep track of software installations, because they plan to make automated SW
License Compliance a key initiative for next year. Most of their IT equipment uses Windows OS; however, the
datacenter and engineering teams use Unix servers and workstations. Today, the Asset Tracking project team
consists of 10: 2 project leads, 3 functional managers and 5 site managers. The team estimates the managed
IT infrastructure to consist of approximately 4,000 actively managed assets (datacenter + distributed systems).
Fortunately for this customer, the “AM Tracking Suite” is a perfect solution, offering all the necessary functional
modules as one Product SKU (TA191AA) at a discounted price: $40,000/USD. However, you will notice that
the AM Tracking Suite does not include adequate DDM Inventory licensing to cover the asset count estimated by

the customer. Therefore, in addition to the AM Tracking Suite SKU, you must also add another 20 x “HP DDM
Inventory 1000+/100 Devices SW LTU”. Fortunately, this is the 2
nd
tier price point of DDM Inventory;
therefore, the customer does receive a better MSRP than the lowest tier which makes: 20 x $2,000 = $40,000.
Unlike the AM Tracking Suite, this additional license quantity is not discounted; therefore, you may apply
standard HP Software discounts to it. Before any discounts, the quoted total rate for this configuration would
be: $80,000.

If you recall, our New Zealand customer wanted to implement SW License Compliance after taking control of
their Asset Tracking issues. The IT Organization has been successfully managing the accuracy of their
hardware infrastructure for over a year and they are now ready to integrate their IT procurement and software
tracking processes into Asset Manager. To integrate purchasing data, the IT Organization will interfacing with

cost of purchased equipment. To support these expanded functions, 5 additional Named users will be added to

will be managed by two Named IT Managers. The following add-on licenses will be quoted to support these

Frequently Asked Questions


How can I make use of desynchronized users?
Starting with Asset Manager 5.20 customers can purchase Named and Floating User LTUs for Financial
Management, Contract Management and Procurement modules in any quantity as long as the
desynchronized part numbers are used when ordering. Please remember that a
minimum number of Asset
Portfolio named and floating users are required to equal the maximum quantity of named and floating users for
the individual modules. For example, if there are 50 Named Contract users and 30 Floating Financial
Management users; a minimum of 50 Named and 30 Floating Asset Portfolio users are required.

Can I convert my current synchronized users to desynchronized users?

Can I continue purchasing synchronized users?
Starting with Asset Manager 5.20, HP recommends that customers start purchasing additional users using
the desynchronized product numbers. However, if a customer wishes to purchase additional users using

the former synchronized product numbers, the product numbers are available but on blind CPL. This
means that a customer will need to know which product numbers they would like to purchase and the HP
sales representative or HP partner will need to override the sales tools to add these specific product
numbers to a quote.

Why are certain modules that were offered in the past missing from this licensing guide?

Starting with Asset Manager 5.20 many modules that were offered previously have had their functionality
merged into other modules.
The following previous module functionality has been merged as follows:

Chargeback Module functionality has been merged into the Financial Module


Cable and Circuit Module functionality has been merged into Asset Portfolio

• SOAP API functionality has been merged into Asset Server
• Service Catalog Module has been merged into the Procurement Module
Customers who currently own these older modules will continue to have this functionality available to
them. Customers who currently own the modules that have the modules that have been enhanced with the
additional functionality will be able to take advantage of it after installing Asset Manager 5.2x and later.


Can I use the Procurement module service catalog functionality with Service Manager?
No, you cannot combine the Service Manager ESS Catalog with the service catalog functionality. The
AM Procurement service catalog functionality

is intended for non Service Mana

er customers who want to

provide their employees with a self-service “shopping cart” experience for requesting IT assets.

Can I mix and match the AM Tracking Suite with the other modules?
Yes, after licensing the AM Tracking Suite, customers may add more Asset Portfolio Users, other Asset
Manager modules or Guest Users. In fact, it is expected customers licensing the AM Tracking Suite will
require additional DDM Inventory device licenses to support their IT infrastructure. Refer to the pricing
configuration examples.

How do I convert per user based licensing to server based licensing for my Connect-It
connectors?
Replacing User based Connector licensing with Server based licensing requires knowing how many
Named and Floating Users the customer currently has licensed and how many they plan to add to their
existing license. Refer to Connect-It pricing guide for an explanation of converting user to server based
licensing.

Can I substitute DDM Inventory in the Asset Tracking Suite for somethin
g
else such as the
Connect-It SCCM connector?
No, the AM Tracking Suite is intended to promote the best of breed IT Asset Lifecycle Management
solution, which includes DDM Inventory. However, the quantity of DDM Inventory included is nominal;
therefore, you should encourage your customer to use this promotional bundling to compare DDM
Inventory’s superior discovery and inventory capabilities to what they are currently using. For example, if
the customer is using SCCM, how are they inventorying non-Windows systems, such as Redhat Linux –

it is

very likely the most Wintel centric IT organization has some count of non-Wintel infrastructure running in
