o Mark Assets as Downloadable or Shared
” Tutorial


One of the most common requests
we’ve re
ceived
was
for
the ability to upload documents that would
be available for download on
fundraising sites. This would allow parents to download fundraising flyers,
print out registration forms or have access to any media file that the school used to promote fundraising
efforts.


The EveryPenny

system not only supports the ability to upload do
wnloadable documents…it also allows
an orga
nization to share files
with an affiliate group, parent group or fundraising campaign so that these
entities can
easily
utilize the
file to promote their efforts on fundraising sites
.


Aft
er signing in to My Home

page, visit the

dashboard.

Every dashboard has the ability to upload assets.

While on the
dashboard,

click on the

Content Management


section.





All files, including images, are stored in the

Asset Management


page.


On the ‘Asset
Management’ page, you

have the ability to upload word documents, excel spreadsheets,
powerpoint presentations, PDF files, audio files and videos. All common file t
ypes and formats are
supported.


Once you’re on the

Asset Management


page, the first thing
you need to do is upload the file into your
Asset Library. To do that, click

Add File

. Please note the step by step instructions on the top of the
page.

When you find the file on your computer, select the file. You’ll notice the progress bar appear
on the
screen.


Click

Start Upload

.


You will receive a notification when the file has been successfully uploaded to your asset management
page. While the system do
es

not set a max file size per asset, please note that the larger the file you’re
trying t
o upload the longer the upload will take.




Once the asset has been uploaded it will appear in the grid on the bottom of the page.

On the right side of

the grid you will see an ‘Edit’

icon in the

Action
’ column
. To mark an asset as
downloadable or shared, click on the

Edit


icon.






The pop
-
up Edit window lets you select whether you would like a file to be available for download on
your fundraising site or
share the asset with any affiliate groups or campa
igns associated with your
organization.

First,

mark this asset as Downloadable. When the box is checked, you’ll notice the grid will update to
show that this asset is now Downloadable. Click

Visit Site


and you’ll see that the asset is now displayed
on your site. Parents or supporters can click on the file to download it, providing a much simpler
experience. Great examples of potential downloadable forms include fundraising flyers, registration/sign
up f
orms,
permission slips,

fundraising policies or audio clips from the event.


Please note that the file name of the asset that was uploaded is displayed on the public site to parents
and supporters. Be sure to name the file appropriately to ensure that it i
s clearly understood what the
asset is. You may need to change the name of the file on your computer and re
-
upload the asset if the
file name is not an accurate representation.

Now, g
o back to the

Asset Management


page and learn

what ‘Sharing
’ an asset means. Click the Edit
icon, uncheck the

Downloadable


option and select

Shared

. Again, the grid will update to show that
this asset is now shared.




To sho
w you what sharing an asset means, go back to the dashboard. Click on the ‘Events/C
ampaigns’
section and visit
the

Active
Campaigns/Events


page
. Visit the dashboard of a campaign, and go to the

Asset Management


page for the campaign.


O
n the campaign’s asset library you will see that the Asset which

was
uploaded and shared by the school
now appears in the

Asset Management


page for this campaign.


This tool makes it easy for districts or schools to share files such as school images, fundraising policies,
registration forms or audio files so that the aff
iliate groups or campaigns are able to utilize the assets to
promote their fundraising.
