THE PROPOSALS THAT H
AVE BEEN MADE SO FAR

DEVSTORM

RSA 20

000

for website p
lus R 22

000 for database integration to the website

They propose to redesign your webpage and integrate your current database into their database tool.

They
include facebook integration
, a newsletter feature and an online signup form
.
R 20

000 is withou
t the
database integration

they refer to another quote with the database integration. You should have this quote
somewhere. If I calculate correctly the database integration will cost an additional R 22

000.

INK FISH

( your current vendor)

RSA 7 000

They propose to migrate you
r

current website to wordpress (a
google
content management platform

an
upgrade from your existing platform Joomla). With wordpress you will have the possibility to include social
media functionality to your website like blogs
, twitter, facebook and others. It is not clear whether adding
these functions to your website are included in the quote. They do not include any redesign/refresh. They
mention a contact form. There is no mention of database.

ENIGMA

R 9

000

This company is proposing to build/define a social media strategy for centre for coaching. With
recommendations for tools,
suggestions for
resources and critical success factors.

Steven Pieterse

from the business school R 4 000

He proposes
to add

an addi
tional module to your current database with additional delegate information that
you have in your excel file.
He gives no solution for updating the website. He refers to some bugs in your
current website.

MY OPINION AND
RECOMMENDATION
….

I like the lo
ok of your website

it is light and uncluttered

On the down side, the content is static

you need to liven it up, you need to keep it changing. A suggestion is
a blog that is updated on a regular basis, or newsletters, pictures of your events.

It would
be great if you could get videos of your testimonials

I believe getting a database is essential

you should ask visitors to sign up to your blog / newsfeed and / or
your calendar. That way you can send customers emails when there is a new event or blog
or newsfeed.

The new ventures west website has most of the functionalities you need

they have a fantastic calendar,
registration and shopping cart functionality.

The process you should follow:

1.

Describe your objectives and benefits for the new website

2.

Understand what ‘electronic marketing’ means for CFC

3.

Identify your groups of customers and how you would like to interact with them (persona table)

4.

Extrapolate from your persona table the content and functionalities of your website

5.

Write a brief for the we
bsite

6.

Prepare the content and put a process in place to constantly update the content

What I have prepared for you below is a list of questions/ideas that you can work through to help you define
your requirements /strategy.
There are two interrelated are
as that I can see, a new website and online
marketing.

Online marketing is a very large subject
I have limited the topics here to database marketing
and social media.

1.

DESCRIBE YOUR OBJECT
IVES AND BENEFITS FO
R THE NEW WEBSITE

The

New

website
?

W
hat are the objectives of having a website?

What are the benefits (tangible and intangible)?

Limitations of Current website?

No social media??

No
Database

of customers
???

Missing content??

2.

UNDERSTAND WHAT ‘ELE
CTRONIC MARKETING’ M
EANS FOR CFC

Are these

the two areas of marketing CFC would be
interested

in?

Are
there others?

DATABASE MARKETING: A database of customers with their personal data so that you can send out
emails informing customers of events, special offers etc … This would typically come with analytics
that is able to tell you who read the email, who forwarded
the email, did your customer go to the
website, where did he click etc…. These marketing tools can be very fancy (changing the content of
the email depending on customer demographics or browsing history) or they can be simple like this
one
http://mailchimp.com/features/
. How many emails would you send in a year? Will you have
someone available and trained to create the email, or would you want it done for you? (I have just
noticed that new ventures west us
es mail chimp

)

SOCIAL MEDIA: marketing via Facebook, twitter, youtube, pinterest, Google +. This is the cheapest
option but still requires a strategy, time and effort. A blog is my favorite. We use it a lot for internal
communications when there is a
n interesting conference/workshop. Someone goes along to the
workshop and summarizes the activities with photos and videos as the day progresses. New
Ventures West has a great blog!

Current Customer database?

What are objectives of having a database?

What are the benefits of having a database?

What are the limitations of your current database (db)? Is it a proper db or is it a list in excel?
There were some emails referring to an excel list.

Does the university have a db? Are you free to use it and
change it?

What functionalities does the university db have

emailing, SMS, email templates, analytics

3.

WHO DO YOU WANT VISI
TING THE WEBSITE AND

HOW WOULD
YOU LIKE TO INTERACT

WITH THEM?

The most important aspect of a website is its
content. Content
must be focused and e
a
s
y to reach for each
type of user.

It is worth to spend some time defining your target audience, the information you would like
them to see and the features they require.
If you do this exercise thoroughly you should be able to de
duce
your content and functionality requirements for your website.

It will also help in designing
an

intuitive user
interface.

For each person use the following questions as a guideline
. You can use the list of functionalities
below to help answer the
questions.

What information would this person like to see?

What information would you like this person to see?

What activities would he/she do on the website?

Would you interact with this person with social media, which one, how often
?

Would you like to s
end this person an email, when, what, how often
?

EXTRAPOLATE FROM YOU
R PERSONA TABLE THE
CONTENT AND
FUNCTIONALITIES OF Y
OUR WEBSITE

Below is a list of functionalities and features that fit on a webpage

it is not exhaustive. It can
help you
complete the persona table. In my experience it is always better to start with what users want and then
extrapolate functionalities rather than choosing fancy features or functionalities that no one will use.

Modify the text in this table to bet
ter describe how the features should work on your website. Eliminate or
add more features if necessary.
