Introduction




Overview


This document is your data center guide to using HostFlow.
It shows you how to manage your system
settings, t
he services you provide to your
custo
mers, your personal HostFlow preferences and
accounting, and the wholesalers, retailers and final
clients

that you will acquire as customers.
HostFlow has four user levels:



Data C

Retailer



Final Customer


Typically the data center sells it
s services and hardware to wholesalers in the form of dedicated and
shared environment servers. Wholesalers then package and sell these services and hardware to
retailers. Retailers resell the packaged services to final customers. Using HostFlow, you wi
ll provide
your wholesalers with all of the tools that they will need to create customized packages to use and
resell online that fit their business needs.

HostFlow also allows you to sell your packaged services and hardware directly to retailers and fi
nal
customers. The HostFlow platform will provide all your customers with all the functionality they will
need to manage and serve their customers’ and their own business needs.


This manual will cover all the functionality of HostFlow

at the Data Center l
evel
. However HostFlow
supports access rights management, therefore a Data Center user with restrictive privileges may not
have access to all those functionality.

to configure and manage your customers’

Financials Module

will allow you to manage your HostFlow accounting: customers


statements and transactions logs, orders’ billing managem
ent, reprocess failed payment,
record an invoice, payment, credit memo and refund, etc.



The
Reports Module

will allow you to view and sort your sales and financials results and
business key listings (system
, customers, domains & packages, affiliates

gs).

The HostFlow management console is designed to work best with Microsoft Internet Explorer 5.0 or
higher. To acc
ess all features of the HostFlow management console, you must enable JavaScript.


Throughout this manual, be aware of the following important indicators:

Logging On to HostFlow


To begin using HostFlow, you must first log on to the system. You must have received your login
username and password by e
-
mail upon your user account creation in HostFlow.


If you are the Admi
n, Billing or Technical user of your company, your HostFlow user account has been
set up during software installation.

If you are the Admin user, your login username is the customer ID of your company (10)

and the
default password is: hf
20
, if you are th
e Billing contact, your username is: 10Bill, and if you are the
technical contact, your username is: 10Tech.

If you are any other HostFlow user, you have been set up in the system by a one of your company
users, using the Users Manager function (refer to t
he

Add a user

section for instructions). In this case
your login username has been chosen by the user who set you up.

In all cases your login alphanumeric password is automatically generated by HostFlow and sent to you
by e
-
mail with your username.

You can modify your login password at anytime (refer to the
Edit your or a user's login password

section for instructions).


To log on to HostFlow, complete the steps below.

pen your Internet browser.

Enter the
Uniform Resource Locator (
URL) you will use to access HostFlow in the

field. The HostFlow login screen appears.

If you forget your password, simply click on the
Forgot your password

link. After you enter the
requested information, your password wil

mailed to you.


Sessions are protected by password and will automatically expire after a set period of inactivity.
This period setting is set in the HostFlow Configuration function and can be modified at any time
(refer to the
System Module
section
).


Note

HostFlow supports access rights management; therefore a user with

restricted privileges may not have access to all this functionality.

Jump to Domain

The
Jump to Domain

function is an easy way to access the Domain Mana
ger menu for a
specific domain. To jump to a domain, simply select the domain from the drop
-
down menu.



It is strongly recommended to NEVER use the back button of your browser
while navigating HostFlow. Indeed, most browsers generate display errors
as
they interfere with HostFlow information flow system.



Understanding Icons and Buttons




Button

If, while performing a function, you enter incorrect data, but have not yet clicked the

button, you can click the

button
. This feature resets data to its
original values. The previous data appears and your incorrect changes are not saved.




Button

Whenever you perform an action you must click the

button to validate it.
Otherwise your actions will not be recorded or

performed.

Tools and Tips


Setting Your Interface Language

You can select and change at any time the language that you want to display on your
HostFlow interface. Setting the language only affects your data center interface. It does
not c
hange the language for your customers.

Simply select from the
Language

drop
-
down menu (at the bottom of every page) the
language you want to display. The screen refreshes and displays the main menu in the
selected language.

Sorting Bar

A sorting bar is displayed in every screen that contains a listing of data.

This sorting bar allows you to build multi
-
criteria sorts whenever
accurate.

To remove it, click the

button.


On every page, make sure that you verify the sorting bar function. Indeed, HostFlow
always remembers the last sort settings made on the page and displays the following

Key Terms


Understanding the terminology is key to quickly learning to use HostFlow.


Customer

We will use this generic term
to designate a customer with no regard to his sales channel
level. Your customers are the sum of your wholesalers, retailers and final customers.


Wholesaler

A Wholesaler is the first reseller level which is allowed to sell
directly to Final Customers,
and indirectly through one level of reseller (Retailers).


Retailer

A retailer is a provider that resells virtual Web services
.

Retailer can only sell to direct
customers (Final Customer).

A Retailer

can either be one of your direct customers or one of your Wholesalers’
customers.


Final Customer

A Final Customer is a company or a physical person who buys services from the Data
Center, Wholesaler, or Retailer.


Affiliate

An

affiliate is a business partner that helps you sign up new customers and
that you
compensate with flat or variable commissions.

You will use most of your customers’ functions (roles, groups, commission, discount, etc.)
to manage your affiliates.


Resource

A resource is the smallest unit of a product offering in HostFlow. A group of resources
equals a service. There are two types of resources: foundation and user
-
defined.
Foundation resources come with your initial HostFlow p
urchase. They cannot be deleted
and only the name of the resource can be modified. User
-
defined r
esources are created by
the data center. Examples of foundation resources include POP 3 set up fee, disk storage
overusage fee, and HostFlow license monthl
y fee.

A service is a HostFlow feature that contains a group of resources. An example of a

mail POP 3 that includes the three following resources: POP 3 setup fee, POP
3 monthly fee, and POP 3

e. Through HostFlow, you will provide your
customers using a dedicated server environment with a list of all the services that they can
use to create the packages that they sell or use for themselves.


Package

A package consists

of a group of services. Through HostFlow, you will provide your
