allows user to
interact with Sugar

CRM system from
IBM Lotus Notes Email Client. Users can load the records from the Sugar CRM system and
the records can be synchronized with each other as and when it required by the user.



We provide facility to user to get contacts, task, emails and appointments. Also user can
update or insert new record from Notes using synchronization facility.



Plug
-
in is clubbed with user’s mail database by replacing the template.

Configuration Settings


This module is used to connect the SugarCRM system which has been deployed
independent of geographical area, which can be accessed through the internet by the
registered authentication credentials from the Notes client.



Configuration Setting Form:

Provide the login credentials of CRM.


Search criteria in general tab which is used for search for calls, meeting and tasks
by period.


Block size


which is used to list items page wise.


Auto Synchronization is used to sync records from CRM by scheduling.

Synchronize Contacts

This feature facilitates to synchronize the Contacts details of SugarCRM and Lotus Notes Email Client.




Synchronize Contacts:

Select
Synchronize contacts icon from Notes Plug

in home page or from address book .


In this module we can synchronize the contact details like name, e
-
mail id, address, mobile
number and etc…to CRM and Notes client.


The below table displays the contacts of CRM and Notes Client and its differentiated using
font colors like

Working with Synchronize
Calls/Meetings


This feature enables you to synchronize calls/meetings in Lotus Notes with the
Sugar Systems.


Synchronize Calls/Meetings:



Select
Synchronize calls/meetings

icon from the Lotus Notes Home page .


In this module the user can synchronize the calls or meetings to CRM and
Notes Client.


The calls and meetings can be fetched from CRM by date and time period of


meeting or Appointment.


A loading calls information screen with the progress bar is displayed

Click on the meetings check box, to proceed with the synchronization of
meetings.



Default Search criteria for the calls, meeting and tasks are provided with the
From Date

and Time as the current date and the
To Date

and Time based on
the
Period

selected from the drop down list in the
General Tab
.



You can select the
From Date and Time

and
To date and Time

with in the
set default time and date, to view any appointments.

Working with Synchronize Tasks

This feature facilitates to synchronize the Tasks in Sugar CRM action window with the Lotus Notes task List.

The records are displayed in the action window based on the time


period selected in configuration.



You can select the
From Date

with in the set default time and date,

Saving Emails in Sugar CRM



This feature helps you to add the mails in the Sugar CRM application.




Save mail
:



User can select the mails thro inbox and select the option
save mail

in



left pane, to move the mails to CRM



Here you can edit the mail details such as subject, body content and externally

attach files in the action window to be moved.




On selecting the
Save Email

option, the Loading Email and Contacts
Information pop up window is displayed:


On

completion

of

loading,

Sugar

CRM

window

is

displayed
:



To view the contents of the mails listed in the Selected Emails Tab, select a
specific mail whose contents and subject need to be displayed in the Body Tab. The
Body Tab will display the contents corresponding to the selected mail. The Contacts
Tab will also load the entire contact details of the corresponding user.




To delete the mails from the list, click
Remove

option displayed towards the right
pane of the
Selected Emails
option.




To view the attachments related with the selected mail, select a specific
attachment in Attachments tab to view the contents.



To add or remove an attachment, click
ADD/Remove

option to add and
delete the attachment accordingly.




To search the contact details, click Search displayed in Contact section. To
view all the contacts, click View All.




To assign mails to the Sugar CRM Contacts, click the appropriate checkbox
displayed in the Contacts list.




Click
OK

to save the selected mail in the Sugar CRM. To discard the saving,
click Cancel.
