A global ID for all members of our community, which can be used to log
into every VPH on

line service; this includes a users ID management
service, in order to properly identify the users, and to reduce the
chances of fraud;


The possibility for consortia to create private areas with services and
contents reserved to the consortium members;


Forum/mailing list services;


Database services to allow the collaborative management of small
information bases;


A news management workflow based on RSS feeds, aggregators, etc. to
manage effectively all the news generated by the community of
practice;


Collaborative tools such as Wiki;


The possibility to use the community portal as a CMS to manage small
public web site associated to projects; with historical archival features.

Bid Process (VPH 2014)


For this year bid, we agree to follow these processes:


During MV plenary lecture during VPH2012 we will advertise
the call for bid; the call will be massively disseminate by the
VPH Institute, VPH
NoE
, and
Discipulus
. Each Board member
will actively search and invite personally potential candidates.


The deadline for submission of the bids is January 13
th
, 2013.


Eventual requests for supplemental information must be
made to the bidders no later than February 13
th
, 2013


The bidders must return supplemental information, if
requested, no later than March 3
rd
, 2013


In the month of March 2013, at the next Board meeting, the
winning bid for VPH2014 will be selected, and soon after
announced.

The
VPH Institute is the owner of the
VPHxxxx

conference series, and
of all the associated visual and textual elements, which will be made
available to the organising institution for the production of visual
materials associated to the conference;


Each
VPHxxxx

conference is separated event: the organising institution
assumes in full the commercial risk associated to the event, while the
VPH Institute ensures that the scientific and organisation standards of
the conference series are respected;


Upon request, the VPH Institute will make available to the organising
institution an advance of

5,000.00 to cover the initial costs of the
conference organisation; the sum must be returned to the VPH
Institute no later than two weeks after the early birds deadline;


Within two months after the end of the conference the organising
institution will pay to the VPH Institute

5,000.00 as a forfeitary
contribution to the support the Institute has provided to the organising
institution. The organising institution will be waived by this payment
only if the conference is cancelled for causes of major force
.

Mandatory
requirements


Define a date, between last week of August and the last week of
September, to ensure continuity with previous issues, which is not
in conflict with any major event relevant for the VPH conference
attendance;


Discount for students: a discounted rate must be available for
students; the smaller is the fee for the students, the more positive
will be evaluated the bid;


The program must include the spaces and time slots for the General
Assembly of the VPH Institute, and one Board of Directors meeting,
plus a plenary session slot to present the next issue of the
conference;


The members of the Board of Directors of the VPH Institute must be
included in the International Scientific Committee of the
conference, and will serve as reviewers for the abstracts
;

submission of the following documents:


Meeting fee model


Composition of the Scientific and Organising committees


Paper and/or abstract evaluation and acceptance process


Strategic layout of the scientific program, including the major topics


A tentative list of keynote speakers


Mobility and accommodation, with price range for recommended
hotels


Description of the venue and of the location


A declaration in which the organisers agrees that any modification
to what is described in the above documents must be approved by
the Board of Directors of the VPH Institute.


If considered necessary, the Board of Directors of the VPH
Institute reserves the right to call for a formal presentation of
the bid, during a physical or teleconference meeting
.
