Following your request during our recent meeting in Lausanne


a)

I spoke with Dr. Syed Ahmed, Southern California Edison conveying your
wish that he speak at your fall Workshop. He was interested and wondered
where it would be held.


b)

I advised the IEA of your wish to hold the forthcoming ExCo Meeting and
workshop in Paris during the days Tuesday, Wednesday, Thursday 22
-
24
October and I asked if the Secretariat would make space available.


c)

Yesterday
, David Elzinga replied, writing that the Secretariat has two large
rooms, Room 1 and Room 2, each enabling power point to be displayed on
multiple TV's in the middle of the room and a sound system for speakers to hear
each other
-

these are not auditorium

style.


David proposes that Room 1 or Room 2 be used for the workshop:

October 22
(and 1/2 day October 23) (approx 50 people)


And he proposes that Room 2 or a room in Carre Suffren (just down the street
from IEA) be used on October 23, 24 for the ExCo M
eeting (approx 15
-

20)


David noted that the week that you have chosen is exceptionally busy and asked
that, as soon as possible, you advise him whether you are planning 1 or 1.5 day
workshop. Note IEA can earn money by renting rooms. So, it deserves your

timely reply.


He also said the there would be no charge for these rooms, if you do not charge
the workshop participants an admission fee. If you do charge an admission fee
then IEA will charge the Implementing Agreement for the use of the rooms.


With
regard to lunch during the workshop, he noted that he has seen two options
succeed: (a) catered lunch in the building (allocate an hour) or (b) go for lunch at
nearby restaurants/cafes (allocate two hours) where each participant pays for
him or herself.

A
s to which restaurants/cafes, David offered to recommend some
for lunch and/or dinner.


d)

In view of David’s reply, yesterday evening, I checked with Syed about his
availability. He reaffirmed his willingness to come and mentioned his wish to tell
the
workshop about the 28 MVA HTS transformer/FCL that will be demonstrated
at SoCalEd. He asked that you send essentially the same letter of invitation as
he received before our meeting Heidelberg. Syed plans to show it to SoCalEd
with the hope it will pay.


e)

I accept your invitation to speak at the workshop and will plan on it.


f)

I recommend that you invite David and his boss, Carrie Pottinger, to each
greet the workshop and say whatever they think appropriate about IEA and its
interest in electri
city and HTS.


It is exciting time for HTS in the power sector, one in which utility staff can be
made aware of the several demonstrations now underway or imminent and most
importantly a time when one should try to elicit utilities’ needs and interests.
Th
ough one cannot expect to learn everything when meeting a stranger, one can
certainly begin a conversation.

Thank you very much for the update and for the actions you took.



I am glad to know Dr. Syed Ahmed is willing to attend, I will prepare an invitation letter
to be sent to him as for the Heidelberg ExCo meeting.

I am also very glad to know YOU will be attending and giving a talk at the WS: very good.



Next week I will contact David Elzinga, however I think the info you got are already
sufficient to take some decisions.



From my point of view I would prefer having 1 hour lunch break and the catering
service.

50 people is somewhat smaller than discussed,

but maybe it is OK.



About 1 day or 1.5 days this is of course related to the WS program
-

next week I will
contact the WS program involved member to draft a proposal to be circulated to all
ExCo members.



Yes, I/we will formally ask to have an IEA HQ r
epresentative to open the WS and to
David to actively participate.


OK also for the suggestions about the meeting room.



I will come back on this issue beginning of next week.

As agreed, next autumn we are going to organize an IA
-
HTS Workshop, to be
held in Paris at IEA HQ on October 22
-
23, 2013.



In attachment you find a first draft of the HTS Workshop program that
i
ncorporates the inputs received from the IA task force.

n the early part of the WS we plan to invite funding agencies, policy makers
and utilities to report about their strategy and needs (now EC is mentioned, but
we could also invite other funding agencies and/or a utility representative from
DSO or TSO);

In the mid part of this event we could explain what the HTS can do on this
respect;

4)


Experts, ExCo members, … will be deeply involved in both presentation and
the panel discussion;

5)


we like the idea to involve industry, experts, … not only in

the discussion, but
also by dedicated simple questionnaires;

6)


As cost is concern, we will have to use our IA budget for the catering (1+1
lunch) mainly;

7)


As soon as the Syed Ahmed contribution will be finalized, I will prepare the
invitation let
ter he needs to receive in order to be able to travel to Europe.

8)






Please feel free to send your feedbacks and also your suggestions for
contributions at your earliest convenience in order to improve the WS format and
to agree on the ExCo venue and

date.

We will have still time in late August to finalize the program, send formal
invitations, and then to make a good advertising of it.
