GENERAL DISCUSSION & CLARIFICATION


The following items were general topics and items discussed or clarified during the
on

site
meeting and walk through:


1.

All sites are connected over single mode fiber over

100mb transceivers in a hub and spoke
configuration.

2.

Hosting is not an option whether the PD is included or not

3.

The successful vendor’s employees will have to submit to and pass a background check before
performing work at the Police Department

and Public Works systems need to be “survivable” but not necessarily “redundant”

The phone system current contract is with Integra and expires in December

What is part of the RFP and what is
not?

A:

The PD work is listed as an optional portion of the RFP
.

Q:

Is there a “feet on the Ground” requirement?

A:

No, this portion is informational only
.

Q:

How many voicemail boxes are required
?

A:

The RFP scopes up to 100;
It is expected that 60 to be

ready for immediate use but to have
the ability to grow up to 100. The below table breaks down where the mailboxes are
needed.

Are there battery back

up requirements
?

A:

The City wou
ld like recommendations but at least an hour of battery time is requested.

Q:

Pleas clarify of the
“music on hold” requirement
?

A:

This requirement
not meant for third party music
but City recorded announcements that we
can record and “publish” ourselves.

Q:

What is the intent of section 4.2.14(b)?

A:

To ascertain if the proposed system has the ability to allow calls forwarded from an station
to route back to original answer station
if there is no answer
on the set call was forwarded
to. This would occur af
ter any subsequent workflow routing and before call is routed to a
mailbox.

11.

Q:

Is there a requirement for cordless phones at any of the office locations.

A:

No. Any set that is currently cordless can be converted to wired phone set. If Vendor wishes
to pro
pose cost for wireless sets that can be provided as part of Section 5.4.8.

12.

Q:

Do alarms need to rout directly through the Telco and be independent of the system?

A:

Currently Yes.

13.

Q:

What are the options for the WWTP lab (wireless, analog)?

A:

Upgrades to
the network connection between the public works building to the water
treatment plant building are being explored. If it is found that network service will not
suffice for phone service the options available to the proposed systems are:



Ring to analog

Ring to mobile phones
