SYSTEM


GENERAL CONDITIONS

I SCOPE OF WORK AND TERMS & CONDITIONS

1.


Supply, installation, testing and commissioning of system and its maintenance at
our branches in the

various

states
but
majority of the installations would be in

Andhra Pradesh, Karnataka

and

Maharashtra
.

2.

The unit is to be fitted outside the strong room of the branch and
the magnetic
lock on the grill door of the strong room.

3.

The rates quoted should be inclusive of labour,
transportation, installation and
commissioning charges and exclusive of all taxes and duties.

4.

The rates will be valid for a period of three years.

5.

The tenderer should specify the make, brand name and specification of each of
the item quoted. The technica
l details/pamphlets should be enclosed along with.
All the tenderers would be required to demonstrate the equipment they have
quoted for the technical evaluation by the Bank. If the equipment does not meet
the required standards or fail during demonstratio
n, then the price bid of the firm
will not be considered for empanelment and their price bid will not be opened.

6.

Once empanelled, the quality of the equipments shall be maintained as per the
relevant specifications and no deviation shall be permitted. In
exceptional
circumstances due to non availability of certain items in the market, prior
permission of the Assistant General Manager (Security), Security Department,
Head office, Hyderabad should be obtained for replacement with equal quality
equipment.

7.

The

Biometric Access Control system should be installed, tested and
commissioned within 30 days from the date of order. The system will have a
warranty period of 12 months from the date of handing over the system in
satisfactory working condition. During warr
anty period, the company will be
required to carry out maintenance and repairs if any free of cost including
replacement of spares/equipment without any additional cost.

8.

After installation of the system, the company shall train the staff members in the
ope
ration of the equipment. Before handing over the system, the following
documents should be handed over to the branch.

Service card containing addresses, contact persons, contact telephone
numbers including mobile numbers etc
.



9.

The Bank reserves the right to levy penalty charges of up to 10% of the
estimated amount for delay in installation of up to 30 days. The Bank also
reserves the right to cancel the order if the system is not installed within the
specified period.

10.

The
fi
rm

shall make
it
s own arrangement for the engagement of all labourers and
shall be responsible for regulating their service and work condition in conformity
with all acts and regulations.

11.

The respective branch will make the payment after satisfactory
installation of the
system. No advance will be paid. All necessary taxes such as income tax etc will
be deducted as applicable from the payment.


II MAINTENANCE OF THE BIOMETRIC ACCESS CONTROL SYSTEM

1.


Annual Maintenance Contract will be awarded after com
pletion of the warranty
period.

2.

Service visits will be required to be done once in
four

months i.e.
three

visits in a
year. The scope of work will be

a)


Checking, cleaning and testing of all components of the system for its
serviceability and healthiness.

b)

Re
ctification of defects noticed in the system.

c)

During each visit, the representative of the firm will give training to the staff
members in operation and preventive maintenance of the system.

d)

Apart from the above visits all complaints/ breakdown calls will
have to be
attended within 24 hours for city/local branches and within 72 hours for
outstation branches. An alternative serviceable unit may be provided in case
the existing unit has to be taken out for necessary repairs and the original
unit/part shall be

refitted after repairs.

3.


The quoted rates of the AMC should be inclusive of all taxes, TA/DA

and

replacement of minor parts. The charges for replacement of other components
wherever required will be paid as per approved rates of the Bank.

4.

A minimum gap of
9
0 days should be maintained between two consecutive visits.

5.

Service reports with the remarks and signature of the Branch Manager should be
submitted to the respective Regional/Zonal Office every quarter.

6.

Technicians visiting the branch sh
ould carry photo identity card and authority
letter to carry out servicing.

7.

The technician attending to the equipment will paste a service slip for the year on
the equipment and after each visit the date should be entered and signed.

8.

Wherever required the

system may be required to be reinstalled/ shifted due to
the renovation of the branch premises or shifting of the branch premises. The
firm shall attend to this work and approved shifting/ reinstallation charges will be
paid. Any additional items used wou
ld also be paid as per the Bank’s approved
rates.

9.

All statutory deductions such as income tax etc
.

will be deducted from the
payment payable, if applicable.

10.

The Bank reserves the right to terminate the contract without assigning any
reasons.

11.

Payment: No ad
vance payment will be made. Proportionate payment will be
made by the respective branch after each service.
